01 · THE BRIEF

HP asked for an executive summit in which scenic, staging, screens, breakouts, receptions, and the offsite were planned as one experience.

One EO brought HP’s executive operations community together in The Woodlands, and the mandate covered everything an attendee would see, hear, or walk through: the stage, the scenic, the screens, the breakouts, the receptions, and the night out.

THE BUILD
BRIEF · ONE LINE

Design the entire experience as one system.

Creative and technical scope: scenic fabrication, staging, video, audio, lighting, breakouts, receptions, and an offsite, held to the standard a global technology brand expects with its name on the door.

02 · THE BUILD

A custom half-circle white stage, fabricated 3D scenic, and an LED wall carrying live IMAG, designed together so the room read as one object.

The centerpiece was a custom half-circle white stage, a shape that pulls the audience around the presenter instead of lining them up against a wall. Behind and around it, we fabricated dimensional 3D scenic backdrops in-house, so the set had depth a printed backdrop can’t fake.

The video system worked as hard as the scenic. Dual LED walls enhanced the visual field, live IMAG put presenters’ faces on screen for every seat in the ballroom, and a broadcast stream carried the program beyond the room. Audio, scenic, and dynamic lighting were engineered to the same drawing, not bolted on after.

THE PROGRAM
DESIGN PRINCIPLE · ONE DRAWING

One creative plan across scenic, stage, and screens.

When the stage shape, the scenic depth, and the LED sightlines are decided together, the room reads as one designed object, and the cameras, lighting, and audio inherit a plan instead of fighting one.

The program also included personalized headshot sessions, giving attendees a useful, individual experience within the wider summit.

03 · THE PROGRAM

General session by day, Neon Cowboy by night. Both environments belonged to the same summit.

Around the main-stage program we produced the full summit rhythm: working sessions, cocktail-hour receptions, and the moments in between that decide how an event truly feels. Each space got the same design attention as the ballroom.

WORKING SESSIONS

Then the summit left the hotel. Space City Pro supported the agency in bringing a Neon Cowboy–themed offsite to life, extending the event into a new venue with a more relaxed, social atmosphere.

04 · THE RESULT

The experience remained unmistakably HP from the ballroom to the offsite.

Scenic fabrication, staging, LED, IMAG, broadcast, breakouts, receptions, and personalized headshots were developed as one program rather than a collection of adjacent assignments.

Space City Pro worked alongside the agency to align creative and technical details across each setting, helping deliver a cohesive leadership experience for the client.

" The outcome of an event doesn’t live or die on how polished the execution is. It lives in all the work that happened before anyone walks in the room. It lives in the people who showed up early, stayed late, solved problems you never saw, and believed in the vision even when the details were still fuzzy.
