01 · THE BRIEF

A sales kickoff is where a revenue plan meets its people. This one had a number attached, and a sales force flying in from nearly 80 countries to hear it.

A global fintech organization chose Dallas for the kickoff that would launch a push the client sized at $1B in new revenue. The general session set the direction. Breakouts translated it by role. Customer meetings, experiences, and the gala extended the program beyond the ballroom. The production challenge was to make those environments feel connected without making them identical.

Space City Pro played a central role alongside the agency team across drafting and design, fabrication, print, signage, technical production, show operations, and the final room conversion. Together, the teams shaped a cohesive audience journey throughout the hotel, connecting each space to the broader event experience.

BRIEF · ONE LINE

One strategy across the full hotel.

General session, 10 to 40 simultaneous breakouts, training, customer meetings, citywide experiences, and an off-site gala: every environment belonged to the same field program.

02 · THE BUILD

Treat the hotel as one branded environment, not a collection of meeting rooms.

A full hotel program starts before the audience reaches the ballroom. Working alongside the agency’s design team, Space City Pro helped develop and produce print and signage across the lobby, session spaces, and off-site venues, connecting those elements with the scenic and screen environments inside each room. Together, these details helped representatives from nearly 80 countries navigate the kickoff with confidence.

THE BUILD

Breakout, training, and meeting spaces received the environmental treatment their role in the program required. The goal was continuity without flattening the experience: the general session could feel cinematic while a smaller learning room stayed focused and personal.

SCOPE · DESIGN THROUGH EXECUTION

Drafted on paper months out. Standing in Dallas on load-in day.

Drafting, design, fabrication, print, signage, AV, and show operations were coordinated alongside the agency team through one production plan.

03 · THE WEEK

A general session, up to forty rooms running at once, and off-site events connected by one program.

The ballroom held the flagship sessions. Around it, 10 to 40 breakout rooms ran at the same time for sales training, product learning, and regional discussion, each with its own scenic build, print, and vinyl, while customer meetings and curated experiences followed their own schedules.

The program also moved beyond the hotel through citywide experiences and an off-site gala. Shared timing, content standards, wayfinding, and show coordination kept the audience journey coherent as the format changed, with a run of show that treated the hotel as one venue rather than a collection of meeting rooms.

04 · THE FLIP

From general session to trade-show floor in a single night.

After the final general session, the ballroom moved into a different mode. The stage environment gave way to a trade-show-style floor of personalized training pods, creating a new setting for the next part of the program without moving the audience to another venue.

The flip captures the production idea behind the entire engagement: a room is not a fixed container. With the creative, technical, and operating plan connected early enough, the same footprint can carry a different audience purpose from one day to the next.
