Corporate event production connects the business objective to the live experience.

Space City Pro helps enterprise teams and agencies turn a complex brief into a show that feels clear, intentional, and alive. We connect the message, the room, the content, the systems, and the people carrying the program from early design through the final cue.

01 · Who it’s for

Bring the objective, the audience, and the ambition. We connect the rest.

This model is designed for programs where the general session, breakouts, executive moments, sponsor environments, broadcast, and off-site experiences need to feel like parts of the same idea. Space City Pro brings the creative and production disciplines together early, then gives the client or agency team a clear path from decisions on paper to cues in the room.

  • Annual corporate summits, multi-day agendas, general sessions, breakouts, executive reception
  • User conferences & sales kickoffs, flagship keynotes, parallel tracks, sponsor showfloor
  • Benefit galas & capital campaigns, mission storytelling, recognition, live appeal, and show calling
  • Product launches & reveals, cinematic staging with press-ready livestream
  • Executive off-sites, discreet, confidentiality-aware production for board-level gatherings
02 · What’s included

The disciplines that carry a brief from intent to live execution.

The exact mix follows the program. The value comes from developing strategy, creative, scenic, technical production, and show control together instead of asking each discipline to solve its piece in isolation.

DISCIPLINE
Strategy
Show strategy & architecture

We translate the business objective into an audience journey, session architecture, decision framework, and show plan.

DISCIPLINE
Creative
Creative direction & content

Brand narrative, screen content, motion, walk-ins, reveals, and transitions are developed for the story the room needs to tell.

DISCIPLINE
Environment
Scenic & experiential design

Stage, entry, signage, sponsor environments, and wayfinding share a visual language that reads clearly to the audience and the camera.

DISCIPLINE
Systems
Technical production

Audio, video, lighting, LED, playback, rigging, power, and broadcast are engineered around the content, venue, and audience experience.

DISCIPLINE
Live
Show direction & control

The run of show, rehearsals, stage management, cues, and control-room communication keep the creative intent intact once the program is live.

DISCIPLINE
Executive
Presentation & speaker support

Decks, confidence content, prompting, rehearsal, greenroom flow, and stage support help leaders focus on the message they came to deliver.

Brand in the room

The message should be visible in every part of the show.

The way people enter, what they see before the keynote, how a demonstration unfolds, and what happens immediately after a major message all shape the audience experience. We design those moments together so the production does more than frame the content.

  • Show direction & brand narrativeNarrative and sequence are developed together so each transition and cue supports the purpose of the segment.
  • Creative built to the storyboardContent, scenic, and lighting designed to the idea early, so the creative leads and the gear follows.
  • Executive moments rehearsed as part of the showKeynotes, demonstrations, reveals, transitions, and closing beats receive the preparation their role in the story requires.
Stage & scenic

Scenic design moves from storyboard to a camera-ready room through the same production process.

Event scenic design and fabrication start with the storyboard, well before a rental catalog opens. We give the stage, entry moment, wayfinding, and sponsor environments a shared visual language, then resolve the idea against the dock, rigging, sightlines, camera plan, and venue review process. The creative drawing and the technical package stay connected through fabrication and installation.

  • Custom stage design & fabrication coordinationSet pieces, hard scenic, and LED-integrated staging drawn to the room and delivered through an approved build and installation plan.
  • Environmental brandingRegistration, wayfinding, sponsor moments, and entry reveals carried through a consistent design language.
  • Rigging & engineeringFlown loads move through the venue’s rigging and engineering process, with drawings, approvals, and load plans resolved before load-in.
  • Camera-aware finishesMaterials and sightlines selected for how the environment reads across the room and within the broadcast frame.
03 · Our methodology

Every production decision works backward from your business objective.

We start by naming the program objective, such as field alignment, investor communication, fundraising, or reputation, and the production decisions that support it.

01
DEFINE

Objective and architecture

The first working sessions define the business objective, audience, decision criteria, and evidence available after the event. Those inputs inform room sizes, session types, speaker count, broadcast scope, and the role the environment needs to play.

Purpose · audience · architecture
02
DESIGN

Creative and technical design

Scenic, content, lighting, audio, video, and broadcast are developed against the same storyboard, room, and audience journey. Creative review and technical validation move together.

Creative · technical · commercial alignment
03
PREPARE

Production

We run crew coordination, rehearsals, content delivery, and quality-control passes with a cadence set by the schedule. Open decisions, dependencies, and changes are surfaced in the working plan.

SHOW DAY

Show day

Space City Pro runs the production desk and connects show calling, stage management, technical direction, playback, audio, lighting, video, and broadcast to the approved plan. The client or agency lead retains the approval role established for the engagement.

AFTER STRIKE

Extend the value

Final media, presentation files, recordings, and agreed production records are organized around the next use the client or agency has planned for them.

Production coordination

One production plan across venues, vendors, and disciplines.

Venue services, freight, labor, fabrication, security, talent requirements, and specialist partners all affect the same live experience. We coordinate those interfaces against the show plan, then make commercial ownership, assumptions, approvals, and invoice routing clear in the engagement.

  • Coordinated commercial pictureVendor lines, assumptions, approval owners, invoice routing, and change control are presented in the agreed scope and budget structure.
  • Procurement & compliance workflowVenue and client documentation coordinated to the required review schedule.
  • Venue & crew coordinationThe venue’s labor calendar, freight protocols, and house-rigging requirements are confirmed during advance and recorded in the production plan.
  • Change-order disciplineMaterial scope changes are documented, reviewed with the approval owner, and authorized before the related work proceeds.
Talent & crewing

Everyone supporting the show should understand the story their work carries.

The production plan identifies the show calling, audio, video, lighting, camera, stage management, speaker support, rehearsal, and talent expertise the program requires. Briefing connects those disciplines to the audience journey and the moments that matter most.

  • Show-day discipline leadsShow caller, A1, V1, lighting lead, camera team, and other specialists matched to the room, systems, schedule, and coverage plan.
  • Speaker & talent opsGreenroom management, prompter, run-throughs, and a rehearsal cadence speakers keep.
  • Procurement requirements identified earlyDocuments, owners, dependencies, and timing are tracked against the client and venue process.
  • Built for multi-market deliveryProduction leadership, market staffing, sourcing, systems, and venue requirements are defined for each stop.
04 · Breakout production

Every room should feel like it belongs to the same event.

Breakout programs benefit from shared content standards, coordinated timing, defined room ownership, and a consistent speaker workflow. Equipment and staffing can be standardized where the rooms and formats support it, while each track retains the systems required for its audience, content, and venue conditions. That operating model has held roughly twenty simultaneous breakout rooms on one master clock at a single sales kickoff. See the program example.

  • Multi-room technical standardsShared equipment, content, monitoring, and operating standards where the room formats and venue conditions support them.
  • Room turns between sessionsTimed turn sheets reset staging, seating, and signage, with the next session loaded before attendees return.
  • Presentation managementA controlled intake and playback workflow tracks each approved deck to the correct room and session.
  • Room monitors & timersConfidence monitors and countdown clocks support speaker pacing and session transitions where the room plan calls for them.
  • Session capture planSelected sessions, formats, naming, review, and delivery paths are established against the approved content plan.
  • Central controlA central desk can coordinate track rooms through the approved show plan and shared timing references.

Published planning bands provide an initial point of reference. The usable range depends on the brief, venue, schedule, audience, scenic and technical requirements, broadcast scope, labor, travel, sourcing, and commercial assumptions. A figure suitable for procurement follows review of those inputs and the resulting scope. Review the investment guide.

Lead time depends on venue, audience, program complexity, content readiness, technical design, labor, travel, freight, approvals, and procurement. Share the date and known constraints; we will assess feasibility, identify critical decisions, and confirm the next working step.

The scope identifies the creative, production, technical, venue, staffing, schedule, and commercial responsibilities included in the engagement. It also names the assumptions, client and agency interfaces, approval path, deliverables, and process for material changes.

Yes. We coordinate the applicable rigging plans, permits, fire-marshal review, venue labor, house systems, insurance, and access requirements with the responsible venue and jurisdictional parties. The production plan identifies responsibilities, approvals, and timing.

Both. We can lead the full production engagement or operate within an agency- or client-led program. In either model, the scope defines responsibilities, interfaces, decision rights, staffing, systems, handoffs, and escalation.
