Healthcare events should make complex work feel human, clear, and worth gathering around.

Space City Pro produces symposia, grand rounds, foundation galas, medical-education programs, leadership meetings, and donor events for clinicians, leaders, patients, partners, and supporters. We create one connected experience across the content, room, broadcast, and recording, with accessibility, credentialing, privacy, educational review, and archiving integrated from the beginning.

01 · What’s different

Put the Audience at the Center of Every Decision.

Clinical teams, donors, executives, patients, and partners arrive with different needs. We shape content flow, staging, media, and broadcast so complex information is easy to follow and the purpose of the event remains clear throughout the room.

We design the operational experience around how people arrive, participate, learn, and stay connected afterward. Credentialing, accessibility, privacy, recording, and asset delivery all work together to support that journey.

02 · Typical engagements

Different audiences require different forms of clarity, care, and participation.

Medical education, leadership communication, patient engagement, and fundraising require different show flows. We bring the production disciplines together while working with the client teams responsible for content, approvals, access, and outcomes.

03 · Compliance & sensitivity

Production practices aligned to the client’s clinical, education, privacy, and release requirements.

Continuing-education eligibility, faculty disclosures, recording specifications, privacy, access, review, retention, and release are governed by the client’s approved process. Space City Pro implements the production responsibilities assigned in scope and does not determine CME credit, legal compliance, or clinical-content approval.

  • Sensitive-information controls. Where the client identifies privacy-sensitive content or data, crew briefing, recording, access, storage, and handoff follow the approved process.
  • Education recording workflow. Session naming, presenter and disclosure requirements, formats, review, archive, and delivery are mapped to the client’s education process.
  • Language and accessibility. Captioning, interpretation, accessible presentation, and venue interfaces are planned to the audiences and requirements identified by the client.
  • Release controls. Research, clinical, and pre-announcement content follows the approved access, review, and release path.
  • Donor and board discretion. Recognition, attribution, recording, and board-sensitive content are handled according to the foundation’s approved plan.
04 · Vendor credentialing

Coordinate access and credentialing while the production plan can still respond.

We identify the required documents, owners, reviews, and facility requirements during advance so creative development, rehearsal, and load-in can proceed against an understood schedule.

  • Credentialing schedule. Required records, submission formats, review owners, and timing are identified against the health system and facility process.
  • Procurement and credentialing. Requirements, formats, owners, dependencies, and timing are confirmed against the health system, venue, and client process.
  • Contracting. Contract form, addenda, review owners, and timing are coordinated with the health system’s procurement and legal process.
  • Facility requirements. Flown gear clears the venue’s rigging process to meet both facility and health-system requirements.
EARLY PLANNING RANGE

Build an early planning range for a symposium, gala, or grand rounds broadcast. Our team can then review the audience, room, access, recording, approval, and likely scope assumptions with yours.

Yes. Procurement, credentialing, access, privacy, safety, and unit-specific requirements are confirmed during advance, with crew briefings based on the approved plan.

Many multi-day symposia and foundation galas align with the published $175K–$400K planning band, while focused single-room or broadcast programs may begin in lower bands. Audience, room, content, accessibility, recording, broadcast, schedule, and client requirements determine the actual range.

Continuing-education programs may add faculty-disclosure, captioning, recording, session-tagging, approval, and archive requirements to the production workflow. We confirm the client’s applicable requirements and review path, then incorporate them into speaker preparation, asset quality control, capture, and delivery.

Confidentiality, privacy, access logging, asset handling, embargo controls, approval gates, retention, and replay release are defined against the client’s requirements. NDA terms and data-handling obligations are confirmed in the engagement.

06 · Discuss your program

Make the program easier to lead and more valuable to attend.

Share the audience, purpose, date, room, and applicable education, privacy, accessibility, or credentialing requirements. We will discuss the experience, production approach, operating plan, and a realistic planning range.
