Privacy Policy.

This Privacy Policy describes the personal information Space City Pro Consulting LLC (the "Company," "we," or "our") collects in connection with spacecitypro.com and its related web properties, the purposes for which that information is used, the parties to whom it may be disclosed, the periods for which it is retained, and the rights and choices available to you. Capitalized terms not defined here have the meanings given in the Terms of Service.

01 · WHAT WE COLLECT

What we collect

Information you provide. When you contact the Company, we collect the information you submit, including name, work email address, telephone number, company, role, and event details. Engagements additionally involve operational and billing information.

Information you provide when you apply for a role. When you submit an application through the Careers pages, we collect your name, email address, telephone number, and whatever you choose to include with it, which may comprise a resume, a LinkedIn profile address, your years of experience, and any introduction you write. Where you attach a file, we collect that file and its contents. Please do not include information about health, racial or ethnic origin, religion, political opinions, trade union membership, sexual orientation, or criminal history: the Company does not ask for it and does not need it to consider an application.

Information generated by your visit. We collect standard server logs and, where the cookie banner allows analytics, a record of the pages viewed, linked by a first-party visitor identifier. This information is used to secure and maintain the reliability of the Site, to provide context for inquiries you submit, and to identify visiting organizations. Visit records are retained for up to twelve (12) months.

Information obtained from third parties. Where our marketing tools operate (Section 03), visitor-identification providers may furnish business contact information (name, work email address, company, and role) associated with a visit, drawn from their own and publicly available sources. These providers are inventoried in the Cookie Policy. You may object by selecting Essential only in the cookie banner or by contacting [email protected].

Marketing and analytics tools. Marketing and optional analytics tools operate subject to the cookie banner and are inventoried in the Cookie Policy. Ahrefs Analytics, a cookieless aggregate-measurement tool, operates without consent (legitimate interest).

02 · HOW WE USE IT

How we use it

  • To respond to inquiries and to provide requested proposals (performance of a contract).
  • To deliver contracted productions, including disclosure of contact details to the team producing the event (performance of a contract).
  • To analyze Site usage and to identify visiting organizations (legitimate interest, or consent where required).
  • To measure and conduct marketing (consent where required; otherwise legitimate interest, subject to the opt-out in Section 03).
  • To deliver relevant communications through the channels you use, including by matching business contact information to advertising and social platforms to reach you and similar audiences (consent, or legitimate interest for business-to-business outreach; opt out at any time as described in Section 07).
  • To assess your application, to communicate with you about it, and to administer hiring (steps taken at your request before entering a contract, or legitimate interest in recruiting).
  • To comply with legal, tax, and audit obligations (legal obligation).

Italicized terms identify the corresponding legal bases under EEA and UK law. The Company does not engage in automated decision-making producing legal or similarly significant effects. The Company does not seek or require special categories of personal data. Where such information reaches the Company despite the request in Section 01, it is not used to assess an application.

03 · COOKIES & TRACKING

Cookies & tracking

The Site functions fully with essential cookies alone. Treatment of optional tools differs by region:

  • EEA, United Kingdom, and Switzerland: no marketing or optional analytics tool operates unless and until you select Accept all (cookieless audience measurement, Section 01, is the sole exception).
  • All other regions: these tools operate by default; selecting Essential only disables them and removes the cookies they set on our domain.

Your election is stored and honored on each subsequent page and may be changed at any time via the Cookie Policy or the Cookies link in the footer, where the tool inventory is also set out.

04 · HOW WE SHARE IT

How we share it

The Company discloses personal information only in four circumstances: (a) to the production team delivering your event, subject to the confidentiality obligations governing the engagement; (b) to service providers that operate our systems (hosting, CRM, email, scheduling, payment processing, applicant tracking, and the analytics and marketing tools identified in the Cookie Policy), acting under data-processing agreements and only on the Company's instructions (card payments made through the Client Portal are entered directly with the payment processor; the Company does not receive or store full card numbers and retains only a payment token, the card brand, and the final four digits); (c) to a successor entity in connection with a merger, acquisition, or reorganization, subject to the obligations of this policy; and (d) to public authorities where disclosure is required by law, and only to the extent so required.

The Company does not sell personal data. Certain optional advertising tools, and the matching of business contact information to advertising and social platforms, involve “sharing” for cross-context behavioral advertising as California law defines that term. Selecting Essential only in the cookie banner, or writing to [email protected], effects an opt-out of that sharing.

05 · WHERE IT LIVES

Where it lives & how it's protected

Personal information is processed in the United States. Transfers from the EEA, the United Kingdom, and Switzerland rely on standard contractual clauses, including the United Kingdom addendum and the Swiss amendments recognized by the Federal Data Protection and Information Commissioner, together with equivalent safeguards.

Access to personal information is restricted to personnel who require it for the purposes described in this policy, and data is encrypted in transit.

06 · HOW LONG WE KEEP IT

How long we keep it

  • Inquiries and engagements: retained for the duration of the relationship and thereafter as required for tax, legal, and audit purposes.
  • Visit records: retained as technical logs for up to twelve (12) months; network addresses appear in security logs retained for up to fourteen (14) days. Where a visit is associated with an identified inquiry or engagement, the associated record is retained as part of that inquiry, per the preceding item.
  • Job applications: retained for the recruitment process you applied to, and afterward only so far as needed to consider you for a future opening or to meet a legal obligation. You may ask us to delete an application at any time, as described in Section 07.
  • Cookie preference: retained until changed.

Verified deletion requests supersede the foregoing periods, subject to retention obligations imposed by applicable law.

07 · YOUR RIGHTS

Your rights & choices

All individuals: you may request access to, correction of, or deletion of your personal information by writing to [email protected]. The Company responds within the period applicable law requires.

EEA and UK residents: you additionally hold the rights of access, rectification, erasure, restriction of processing, data portability, and objection, and you may withdraw consent at any time without affecting the lawfulness of prior processing. You may lodge a complaint with your supervisory authority.

Residents of US states with comprehensive privacy laws: you may opt out of targeted advertising and of the “sharing” of personal information for cross-context behavioral advertising by selecting Essential only in the cookie banner. The Company honors the Global Privacy Control signal as a valid opt-out. The Company does not sell personal data and does not discriminate against any individual for the exercise of a privacy right. A declined request may be appealed by replying “appeal” to the Company's response; appeals receive a written determination within the period applicable law allows.

The Site is not directed to children, and the Company does not knowingly collect personal information from anyone under eighteen (18) years of age, which is the age the Terms of Service require to use the Site. If we learn that we hold such information, we delete it.
