LED wall rental in The Woodlands for executive programs and galas where scale should still feel considered.
Space City Pro develops LED systems for Woodlands leadership meetings, corporate summits, galas, awards, and broadcasts. We begin with the tone and sightlines the room needs, then resolve wall geometry, pixel pitch, processing, cameras, structure, power, engineering, and show operation.
Three configurations cover most Woodlands rentals. Here is what they run.
Ranges include panels, processing, power, delivery and an on-site LED engineer. Because our warehouse is right here in The Woodlands, delivery is about as lean as it gets. The levers below explain what else sets the price.
$9K–$18K

Create visual scale without losing the connection in the room.
Pixel pitch and budget set the wall you want; the venue sets the wall you can hang. Here is what to expect in the rooms The Woodlands corporate events actually book, from The Woodlands Resort and the Town Center hotels up into Conroe. Tell us your venue on the call and we will have the rigging answer before the quote.
- The Woodlands ResortOur busiest room in the market and a premier corporate destination for SKOs, summits and leadership offsites, with a championship golf course on site. Large ballrooms and outdoor lawns carry multi-day general sessions on camera-safe walls, indoor or under the sky; we build here often.
- The Cynthia Woods Mitchell PavilionThe Woodlands’ landmark outdoor amphitheater, a concert venue rather than a corporate keynote room. When a program does take the lawn, it is outdoor-concert scale: 2.6mm at high nits, engineered to the stage rigging and the long sightlines.
- The Westin at The WoodlandsA Town Center hotel with modern ballrooms and clean sightlines, a frequent home for corporate general sessions on camera-safe ground-supported keynote walls.
- The Woodlands Waterway MarriottThe convention hotel on the Waterway, with the largest local ballroom and real rigging points for wide keynote walls and multi-day programs.
- Hyatt Regency ConroeJust north in Conroe, a newer convention hotel with flexible ballrooms for regional sales meetings and general sessions on camera-safe walls.
- Hughes LandingNot an event space, but its waterfront restaurants are a natural fit for an intimate offsite dinner or a leadership gathering alongside the main program.
- Outdoor & campus buildsCorporate campuses along I-45 and outdoor activations run on outdoor 2.6mm at 4,500–6,000 nits, spec’d to hold up under a bright Gulf-coast sky and the humidity that comes with it.
Five decisions balance intimacy, image quality, room fit, and range.
Pixel pitch, square footage, processing, rigging, and labor: those five move every LED quote. Pitch and size set the panel cost; processing is the lever nobody puts in the RFP (a single-laptop show and a multi-camera show diverge by five figures on the same wall); rigging swings roughly $2K–$6K between ground-supported and flown; and labor follows the venue and the week.
We wrote the full breakdown, with the six inputs that make any two LED quotes comparable, in what a Houston-area LED wall costs. Bring them to a call, or configure your event, and the range you get back holds to load-in.
The system behind a polished ballroom image.
The scope connects panels, processing, playback, cameras, structure, power, engineering, delivery, calibration, operation, and venue requirements to the desired room experience.
Brompton or Novastar, matched
LED processing matched to the panel set, with a media-server playback path scoped to your content sources, single laptop or multi-source with live cameras.
Ground-supported or flown
Either way, the wall is built on proper structure, on load-tested motors with current inspection tags, sized to the room and the load.
Distribution, scoped early
Power distribution scoped on the site survey, with cabling and a tie-in plan the venue engineer has signed off well before the trucks roll.
LED engineering through the show
The wall is built, calibrated for camera ahead of walk-in, operated during the program, and monitored through strike.
Delivery and load-out
Our trucks, our crew, your freight window, and a short run from the warehouse. Setup day is scheduled around your rehearsal; load-out follows the venue’s turnover clock.
Playback and content support
ProPresenter, Resolume or disguise playback as the show demands, and a pre-show content pass so your files run through our processor before your run-through.
A 12′ × 8′ breakout wall typically runs $9K–$18K, a 24′ × 13′ camera-safe general-session wall $18K–$38K, and wide-format or outdoor stage walls $55K–$110K and up for multi-day engagements, processing, rigging, power and engineer included. Because our warehouse is right here in The Woodlands, delivery is as lean as it gets. The five levers that move the numbers are in our LED wall cost breakdown.
As local as it gets. Our warehouse and main office are right here in The Woodlands, so delivery is as lean as it gets and the crew is local. You get one Space City Pro team, your producer and the engineer who runs your wall, on site from kickoff through teardown.
Yes. Outdoor panels run 4,500–6,000 nits, so they hold up under a bright Gulf-coast sky, and we engineer the rig to the stage and the sightlines, whether that is a resort lawn or a corporate campus. The Pavilion itself is a concert venue rather than a corporate keynote space, but wherever your program takes an outdoor stage, the same build applies.
Start from viewing distance and content. Most ballroom keynotes run a 24′ × 13′ or wider 2.6mm wall so the back of the room still reads clean; a 16′ × 9′ suits a large breakout or a smaller general session; past 30 feet outdoors, our outdoor 2.6mm carries the distance. Give us the width, the height, and the closest seat, and the sizing call takes five minutes.
Lead time depends on configuration, content readiness, venue access, engineering, labor, inventory, transport, and approvals. Share the date and known constraints; we will assess feasibility and confirm the next working step.
